- Wide Range of Features
Clubs WA’s new system consists of features that span across CRM, students and course management, membership management, and even a content management system. Additional roles and permissions have been enabled for the separate business divisions, allowing them access only to their relevant roles. This has been completed without compromising an overarching view of the system by the assigned administrators for reporting purposes.
- Centrally Managed System
A comprehensive review of their Content Management System was performed, in addition to gaining an understanding of the business itself. On completion of this process, a translation of the business requirements was designed for the new business system. The new system is now in place; a central database with exporting capabilities which can deliver data to Clubs WA when and as required.
- Local Support Team
Fortix also delivers to Clubs WA a local support team who can take their inquiries and provide assistance to both business divisions when required. In addition, Fortix is a sponsor of Clubs WA and works collaboratively to provide strategic and digital advice when and as required.
Clubs WA required a more automated website for our training business, particularly with the creation of forms and automated response to completion of materials.
Fortix was able to create a system so that we could create our own forms and change where necessary, which was important to us given the changing nature of our business. In addition, automated responses to students at different stages in training was created to ensure two way communication.
We have greatly saved on our administration burden through the automated process – whereas before staff had to manually input most details, there is now an automatic update in these areas. The ability for students to login as returning users and download their own certificates has also been greatly beneficial to Clubs WA and our clients.
- Business Transformation
Clubs WA had two areas of focus for the business; memberships and online courses. Their original content management system was proving to be too inflexible for their growing business, and with the support team not being local, it was difficult for management to convey requirements across the organisation. They needed a system which could be configured for future changes, enable roles based on staff levels, and provide a platform to interact with their front-end learning courses.
- Expansion into Other States
In addition to the above, Clubs WA was undergoing a strategic change themselves with their revenue forecast and business opportunities being more interstate than before. What they required was a system that would be capable of handing different e-learning workflows, templates and even enable white labelling for their major clients.
- Incomplete Databases
To ensure continued compliance as an RTO, Clubs WA needed a new system that could provide full data when and as needed. The original setup of their content management system interacted with an external database, hosted on Clubs WA’s server, synchronising only parts of the data. The results were a large amount of discrepancy, duplication and high processing requirements on the server, leading to low productivity.
